DUTIES

Your duties as the Patient Coordinator / Sales Support Administrator include:

  • Patient Enquiry Management: Act as a warm, professional and knowledgeable first point of contact for prospective and existing patients across telephone, email, website and social channels

  • Patient Journey Coordination: Guide patients from initial enquiry and consultation booking through to treatment coordination, follow-up and ongoing engagement

  • Appointment Scheduling: Coordinate appointments, clinician availability and clinic rotas to support an efficient patient experience

  • Service Information: Provide clear, timely information on services, treatment pathways, pricing and next steps, escalating clinical questions to the appropriate clinician

  • Relationship Building: Build strong patient relationships that encourage trust, repeat visits, referrals and long-term loyalty

  • Enquiry Follow-Up: Follow up leads promptly and consistently using telephone, email and other agreed channels to maximise conversion

  • CRM Administration: Maintain accurate CRM records, next actions and follow-up dates so that viable enquiries are not lost

  • Performance Tracking: Track lead sources, conversion rates, bookings and sales performance, sharing useful feedback on lead quality and campaign effectiveness

  • Front-of-House Support: Support the smooth day-to-day running of the clinic, including front-of-house administration and coordination with clinicians

  • Confidential Records: Handle information professionally and confidentially, maintaining accurate records and following relevant policies, procedures and data-protection requirements

  • Process Improvement: Look for practical ways to improve the patient journey, response times, booking processes and overall commercial performance

CANDIDATE REQUIREMENTS

  • Previous experience in patient coordination, sales support, customer service, account management or a similar commercially focused role

  • Experience in a clinic, healthcare, aesthetics, wellness or premium service environment would be advantageous

  • Confident communicator who is comfortable speaking to prospective customers and asking for the booking or sale

  • Able to build rapport quickly, understand customer needs and convert enquiries into action

  • Highly organised, responsive and able to manage multiple patient journeys, follow-ups and priorities at the same time

  • Commercially minded, target aware and motivated by delivering excellent service alongside revenue growth

  • Strong written and verbal communication skills, with a polished and professional manner

  • Confident using CRM systems and Microsoft Office applications including Outlook, Word and Excel

  • Discreet and trustworthy when handling confidential patient and business information

  • Self-motivated, resilient and comfortable working in a fast-paced, growing business

  • Comfortable committing to a full-time, office-based role in Henley-on-Thames with some Saturday working required

THE OPPORTUNITY

This is a newly evolving position offering genuine progression. You will initially work alongside our client's existing front-of-house/reception team, helping to ensure outstanding reception operations while learning the practice's systems, protocols and patient data firsthand.

Once you are fully up to speed, you will take ownership of the practice's communications, marketing and data function, driving patient engagement and retention. You will also provide occasional executive assistant support to the Director.

There are no immediate plans to recruit an additional practitioner (not anticipated before the end of the year at the earliest), giving you time to properly embed in the role before it develops further. WHAT YOU'LL BE DOING

Initial Phase - Reception & Systems Familiarisation

Social Worker required for work within the Looked After Children's in the Mendip and Shepton Mallet area of Somerset. Long Term contracts in beautiful. 37 hrs a week with flexible working & 9 day fortnights Competitive rates of pay to 38ph.

We are looking for Qualified Social Workers who are passionate and enthusiastic to join us in improving outcomes for our most vulnerable young people within the CLA service. We have come a long way in our improvement journey join us as we strive to provide a gold star service for all children and young people. These vacancies have arisen in our very stable CLA team due to promotions.

Working in CLA you will have the opportunity to support profound changes to a child's life, building long term relationships to see them through their journey. Within the Mendip team, there is also the potential to access training to develop an expertise in work with asylum seeking young people.

We promote flexible working within our CLA teams and will consider part time, 9 day fortnight and other flexible working approaches.

Our offices in Mendip are located in Shepton Mallet, just a short drive from both Frome and Glastonbury and easily accessible from Bath, Wiltshire and North Somerset with parking on site.
