The Administrative Assistant/Receptionist reports to the HR/Office Manager and provides efficient administrative, clerical, and reception support to ensure smooth day-to-day operations.
1. Reception & General Administration
Perform daily administrative tasks including data entry, filing, copying, and document preparation
Answer and direct calls, take messages, and greet visitors professionally
Manage incoming/outgoing mail, emails, and communications in line with company policies
Maintain organised filing systems and office records
Schedule meetings, manage calendars, prepare agendas, and take minutes

Assist with scheduling board and management meetings
Prepare and distribute meeting documents (agendas, reports, minutes)
Record and distribute meeting minutes
Support contract administration and renewals
4. Foundation & Database Support
Maintain donor and database records
Process contributions and generate acknowledgements
Support reporting, tracking, and correspondence related to donations and memorials
Assist with organising board and trustee meetings
5. Fundraising & Business Development
Support tendering processes and business correspondence
Assist in organising and coordinating business development and fundraising events
